Short version: Site Paperwork writes a draft. You read it, you approve it, and from that point it is your document and your judgement. Nothing here tries to take that responsibility off you, because it cannot be taken off you.

What it does

You describe a job, a talk or an incident. Site Paperwork produces a draft SWMS, Task Analysis, toolbox talk record or incident report, and files it against the site. It uses AI to write that draft.

What it does not do

It does not make you compliant, and it is not health and safety advice. It does not know your site, your crew, your plant or your jurisdiction beyond what you tell it, and it can be wrong — a draft may miss a hazard, misjudge a risk rating, or suggest a control that is not right for the job in front of you.

It does not replace a competent person. Under WHS law a SWMS for high risk construction work must be prepared for the actual conditions of the job before work starts, and somebody qualified has to stand behind it.

Who is responsible for the documents

You are. Every document enters as a draft and only becomes a record when a person approves it. Approving is a statement that you have read it and judged it fit for the job — that judgement is yours, and the approved document is yours.

You are responsible for making sure the people who approve documents are competent to do so, that the content matches the actual site, and that the document is used and consulted on as the law requires.

Your content

What you put in stays yours — your records, your photos, your documents. Site Paperwork uses them to run the service for you and nothing else. See Privacy for exactly where that content goes, including the parts that leave Australia.

Your account

Signing in uses a link emailed to you. Anyone with that link can get into your account, so do not forward it. The first person to sign up with an address creates a company; anyone they invite afterwards can see that company's records. Keep that in mind before inviting someone.

While it is free

Site Paperwork is early and currently free. That means no uptime promise and no guarantee a feature will still work the same way next month. If charging starts, existing accounts get told first, and nothing starts billing without you agreeing to it.

Keep your own copies of anything you rely on. Approved documents are emailed to you as PDFs when they are approved, partly for this reason.

Liability

To the extent the law allows, Site Paperwork is not liable for loss arising from the documents it drafts, from decisions made on site, or from the service being unavailable. The drafts are a starting point that a competent person reviews.

Nothing here excludes the guarantees that cannot be excluded under the Australian Consumer Law.

Stopping

You can stop at any time. Ask through the contact form and your records will be deleted. An account can be suspended if it is used to break the law or to put other people's data at risk.

Changes

If these terms change in a way that matters, the date at the top changes and account holders are emailed.
